The following information contains detailed descriptions for the metrics available in the Schedule category of the Pulse module.
Production Booked
The Production Booked metric provides insight into how far ahead your practice is scheduling appointments, helping to answer the question, "Is my schedule full?" This will give you the information you need to determine whether you need to add extra slots or rearrange certain types of exams, e.g., If you allow any appointment to be booked at any time of the day, a contact lens check could be taking up a valuable exam slot.
- The data displayed is the total appointments associated to a slot, divided by, the total appointment slots available.
- Only locations utilizing slots will have data displayed in this metric.
- The numerator and denominator reference the employee assigned to a slot.
- The Type dropdown menu filters only the numerator.
- Slots and appointments that have been blocked by a busy time are not included in the numerator or denominator.
- Numerator:
- Total appointments associated to a slot.
- Appointments with a No Show status are included.
- Denominator:
- Total appointment slots available.
Production Completed
The Production Completed metric allows you to measure if your patients are checking in for their scheduled appointments. Comparing this metric to the Production Booked metric allows you to monitor how full your appointment book is and expose potential issues with no-shows. If there is a difference in trends, you may need to reevaluate your reminder process.
- The data displayed is the total encounters associated to a slot, divided by, the total appointment slots available.
- Only locations utilizing slots will have data displayed in this metric.
- The numerator and the denominator reference the employee assigned to the slot and encounter.
- The Type dropdown menu filters only the numerator.

Provider New Patient Percentage
The Provider New Patient Percentage metric allows you to measure your new patients compared to existing patients. New patients bring in additional family members and referrals. Keep an eye on this percentage to help you decide where and when to concentrate marketing and communication efforts. Newer providers generally have a higher New Patient Percentage which naturally decreases over time as loyalty of Established Patients increasingly fills the books.
- The data displayed is the total encounters for patients that had a status of New at the time the encounter was created, divided by, the total number of encounters.
- If a practice has encounters that are not associated with a provider, "No Provider Assigned" displays within the graph.
- The numerator and denominator reference the provider assigned to the encounter.
- Numerator:
- Total number of non-canceled encounters for patients that have a status of New.
- The New status is confirmed at the time the encounter was created. If the status was not New at the time the encounter was created, the patient will NOT be counted in the numerator.
- The status of the patient can be found in Demographics.
- Denominator:
- Total number of non-canceled encounters.
Total Appointments (By Provider)
The Total Appointments (By Provider) metric displays total amount of appointments in any status associated to a provider on a specific date. This metric can help practices track trends involving different appointment types, appointment statuses, locations, and providers.
- The data displayed is the total number of appointments in any status associated to a provider.
- This metric matches the current Appointment Scheduling Report when the filters are set to the same parameters.
Total Encounters
The Total Encounters metric displays the total non-canceled encounters on a specific date. This metric can help the practice track trends involving different encounter types by provider and or location.
- The data displayed is all non-canceled encounters associated to a provider, employee, or role, whether or not they are linked to an appointment.
- This metric matches the current Encounters Report when filters are set to the same parameters.
- If a practice has encounters that are not associated with a provider, "No Provider Assigned" displays within the graph.
