Grant Credit and/or Refund a Patient

Before processing the grant credit or refund, it is helpful to determine what is generating the negative amount (i.e., credit) on the invoice.

Instructions

Additional Discount

1. If the credit is being processed by Discount Items, ensure the invoice is in Pending.
2. Click 'Discount Items.'
3. Complete the fields within the Discount Items modal. 
4. Click 'Save.'
5. Click the ellipsis icon in the invoice header.
6. Select Grant Credit. 
7. Complete the fields in the Grant Credit modal.
8. Click 'Save.'

Partial Return, Full Return, or Cancellation of Order

With Insurance - processed with Transfer Item method

1. Ensure both the insurance invoice and the patient invoice are in Pending.
2. Open the insurance invoice.
3. Click on the line item being returned.
4. Remove the transfer item to the patient. Note: This action returns the full balance back to the insurance invoice.
5. Adjust the quantity or remove the item(s). 
6. Click 'Transfer Items.'
7. In the Transfer Items modal, complete all required fields.
8. Click 'Save.'
9. Open the patient invoice.
10. Click the ellipsis icon in the invoice header.
11. Select Grant Credit. 
12. Complete the fields in the Grant Credit modal.
13. Click 'Save.'

With Insurance - was not processed with Transfer Item method

1. Ensure both the insurance invoice and the patient invoice are in Pending.
2. Open the insurance invoice.
3. Minus the Transfer Charges.
4. Open the patient invoice.
5. Minus all Transfer in charges that came from the insurance invoice.
6. Adjust quantity or remove only the items returned from the insurance invoice. Note: The patient invoice balance will now be negative.
7. Click the ellipsis icon in the invoice header.
8. Select Grant Credit.
9. Complete the fields in the Grant Credit modal.
10. Click 'Save.'

No Insurance

1. Open patient invoice.
2. Click 'Pending.'
3. Adjust quantity or remove items. Note: This action will create a negative balance (credit).
4. Click the ellipsis icon in the invoice header.
5. Select Grant Credit. 
6. Complete the fields in the Grant Credit modal.
7. Click 'Save.'
