The most common cause of multiple invoices is due to creating a new invoice instead of selecting a patient's existing invoice.
Instructions
There are two ways to transfer items to a patient's invoice.
Option 1
- Access Patients > search for and open a patient > Account > search for and open an insurance payer invoice.
- Click 'Transfer Items.'
- In the Transfer Items modal, ensure the radio buttons for Transfer To: Patient and Existing Invoice are enabled. Note: Existing patient invoices must be in Pending status to receive the transfer.
- Select the invoice to transfer to within the dropdown menu.
- Check the box beside "Include All Items in Transfer."
- Click 'Save.' See Example
Option 2
- Open an insurance invoice.
- Click 'Receive Payment.'
- In the Receive Payments modal, complete one of the following:
- If posting a payment, enter payment information.
- If not posting a payment and only applying a transfer, leave the Payment Amount field at $0.00.
- Select the Items or Transfer column. Note: They open the same payment modal.
- In the Payment Items modal, select the appropriate transfer reason.
- In the Transfer to Patient fields,
- Click the radio button for New Invoice or Existing Invoice.

- If there are pending invoices available, the oldest invoice will default in the field.

- Click the radio button for New Invoice or Existing Invoice.
- Click '+ Add Transfer / Write-off.' Note: This action adds a display section on the invoice. See Example
- Enter the amount transferring from insurance to patient.
- Click 'Save.'
- If you transfer to an existing invoice but you are not seeing a new invoice listed, you may have transferred to a pending invoice. Open the insurance invoice and ensure it is Active and Pending. Single click on the line item and remove the transfer. Transfer to the correct invoice.
