This article explains how to apply a payment in RevolutionEHR without charging a patient’s credit card. This method is useful when a payment has already been processed outside of the system or when you need to record a payment without affecting the cardholder’s account.
Steps to Apply a Payment Without Processing a Card
1. Initiate a Payment
- Begin by selecting Receive Payment.
2. Enter Payment Details
- Complete all required fields for the payment.
3. Select Payment Method
- In the Payment Method dropdown field, choose Credit Card.
- Note: Reader is enabled by default.
4. Switch to Manual Entry
- Select Manual as the entry method.
5. Open Payment Processing Window
- Click Process Payment.
6. Apply Payment Without Charging the Card
- In the Process Payment modal, click the link on the bottom left:
“Apply payment without processing card.”
Important: This action does not charge the cardholder’s account.
7. Enter Payment Information
- Select the appropriate Card Type from the dropdown menu.
- Enter relevant details in the Reference/Check # field.
8. Apply the Payment
- Click Apply Payment.
Result
- The payment will be applied to the account.
- The Process Payment window will close.
- The transaction will be recorded in the payment history and notes.
Notes
- This method is ideal for documenting payments that were processed externally.
- No funds are collected during this process.
- Ensure all reference information is entered accurately for proper recordkeeping.
