RevPayments - Refund

The following instructions are to refund a payment that has been processed using RevPayments, and the following criteria must be met for the functionality to be available:

• The user role of the employee must have permission to process a refund. See RevPayments - Setup.
• The patient must have an available credit. Note: A negative balance on the invoice must be granted to the patient's account.
• The refund must be processed from the patient's accounting component. It cannot be processed through the "Grant Credit" screen that is within an invoice.
• The location selected within the Refund modal must have RevPayments enabled.

Instructions

Refund Using Reader

1. Access Patients > search for and open a patient > Account.   
2. Click 'Refund.'
3. In the Process Refund modal, complete all required fields.
4. Ensure the Reader button is highlighted and select the reader from the dropdown menu that will be used to swipe the credit card. See Example
5. Click 'Process Refund.' Note: A success message displays.
6. Click 'OK.' Note: The option to print a credit card receipt displays after OK has been clicked.

Note: If you are not refunding the full Available Credit balance, the system will decrement the balance for the Amount entered in the Process Refund modal. 

Refund Using a Saved Card

The patient must have saved credit card information for the On File button to display.

1. Access Patients > search for and open a patient > Account.
2. Click 'Refund.'
3. In the Process Refund modal, complete all required fields.
4. Ensure the On File button is highlighted and select the saved credit card from the dropdown menu. 
5. Click 'Apply Refund.' Note: A success message displays.
6. Click 'OK.' Note: The option to print a credit card receipt displays after OK has been clicked.

Note: If you are not refunding the full Available Credit balance, the system will decrement the balance for the Amount entered in the Process Refund modal. 

Refund Manually

If the transaction has already been refunded outside of RevPayments, Refund Manually allows the user to refund the payment in RevolutionEHR without processing the card. This process does not refund the cardholder's account; it only updates the Available Credit within the patient's account in RevolutionEHR. To enter refund information after a card has been processed, complete the following instructions:

1. Access Patients > search for and open a patient > Account.
2. Click 'Refund.'
3. In the Process Refund modal, complete all required fields.
4. Ensure the Manual button is highlighted.
5. Click 'Apply Refund.' Note: A success message displays.
6. Click 'OK.'

Note: If you are not refunding the full Available Credit balance, the system will decrement the balance for the Amount entered in the Process Refund modal.

• Receipts can be reprinted from the Global Payments Integrated merchant portal.
