Manage your online scheduling settings by selecting the appointment type(s) and provider(s) to display on your website. Information entered by patients during online booking, including appointment notes and insurance are available on the RevIntake Dashboard > Scheduling Intake column. See Example
Important! Encounter templates must be assigned to appointment slots in order for them to be available to patients online. Please review how to create appointment slots here.
Select Location
Practices with more than one location will set up scheduling per location. See Example
Scheduling URL
A unique schedule widget is generated per location. Once initial set up is complete, the implementation team will build out your schedule and confirm when the URL is live and ready to use. Once live, you can log back into the settings tool to make updates as necessary. See Example
Providers to be listed
Include one or more providers on your online schedule for patients to book appointments with. See Example
- Single provider: Click "no" and select provider name from drop down.
- Multiple providers: Click "yes" to see full list of providers.
Multiple providers:
- Enter a title and description for this page that will display to patients.
- Select the provider(s) patients will be available to schedule with online. Enter a display name, specialty, description and upload high resolution photos.
- Determine the order providers will appear on your schedule by dragging and dropping as appropriate.
- Click Update changes. See Example
Encounter/Appointment Types
Include one or more appointment types on your online schedule for patients to select from.
Multiple appointment types:
- Enter a title and description for this page that will display to patients.
- Select the appointment types patients will be available to book online. Enter a display name, description.
- Determine the order appointment types will appear on your schedule by dragging and dropping as appropriate.
- Click Update Changes. See Example
Use the "Override EMR" button to:
- Set how far in the future patients may schedule.
- Whether they can schedule same day.
- If duplicates are allowed.
- Customize a message the patient will see when a slot is no longer available.
- Click Submit. See Example
Display Messages
Review and edit the default messaging that will appear to guide patients through the online scheduling process:
- What message should display when there is no slot available?
- What message should a patient see after successfully scheduling an appointment?
- Full Registration Redirect Message. This will display if you select "yes" later in the set up process to "auto redirect to complete paperwork" and is applicable only to customers who purchase the patient registration service.
- Custom message to display at bottom of schedule widget.
- What message should a patient see when there is a problem scheduling an appointment?
Further Customization
- Enter a caption to appear on the registration button.
- Enter an email address to receive notifications when patients schedule appointments. See Example
- Select your Branding color and Button caption font color. See Example
Scheduling Questions
- Indicate whether patients must complete registration prior to booking their appointment.
- Indicate whether patients should be directed to complete registration once their appointment is booked.
Note: These settings are applicable only to customers who purchase the patient registration service.
Patient Information
- Enter a title and description for the page that will display to patients when they enter required information to book their appointment.
- Edit field names as appropriate. For example, "Legal First Name" instead of "First Name."
Insurance
- Would you like to collect the insurance information from patients during scheduling? Select "yes" to require patients to answer this question prior to scheduling. See Example
- Click Save & Continue.
