This article explains how to create Optical Order packages for use in orders.
The ability to create packages requires the appropriate permissions. If Packages is not available in the Inventory module, the necessary permissions have not been configured. Directions for enabling permissions can be found here: Setting Optical Order Permissions.
Instructions
- Navigate to Inventory > Packages.
- Select the plus (+) button in the upper-right corner to create a new package.
- Enter a name for the package. It is recommended to use a consistent naming convention for ease of use by staff.
- Add the desired Lens Details
- Selecting Single Vision will automatically populate the corresponding single vision lens in Lens Details for both OD and OS when the package is used in an order.
- Selecting a Bifocal Size will populate the appropriate bifocal lens in Lens Details for both OD and OS.
- Selecting a Trifocal Size will populate the appropriate trifocal lens in Lens Details for both OD and OS.
-
Important: Automatic population of lenses relies on proper product setup. The Eyeglass Lens category must contain only one product per applicable HCPCS code (V21XX for single vision, V22XX for bifocal, and V23XX for trifocal). The system uses the patient’s prescription (Rx) along with the HCPCS code definition to determine which lens to apply.
- Example: If the patient’s Rx is -1.00 sph, the system will select the single vision lens with HCPCS code V2100, as the HCPCS definition for V2100 is “sv sph pl-4" (spherical single vision lens with a sphere power between 0 and 4.00 or -4.00 and no cylinder).
- For progressive lenses:
- If you have configured progressive lenses as add-ons within the Eyeglass Lens Treatment category (recommended setup), first select “Base Lens” from either the Bifocal Size or Trifocal Size dropdown—depending on your standard base lens. Then, use the lookup for the PAL field to select the appropriate progressive add-on product.
- If you have instead configured progressive lenses directly within the Eyeglass Lens category, do not select a lens in Lens Details within the package. The lens will need to be manually selected when creating the order. You can still use the package to define the associated lens options.
- Add the desired Lens Options that make up the package. Use the lookup icon for each option to select the appropriate Eyeglass Lens Treatment from your existing Product Catalog.
- Select Save.
