When service or product codes have been generated in an encounter or an order, they are considered unassigned items until they are associated to an invoice. There are two types of Unassigned Items reports:
- Service charges: Access Reports > Accounting > Unassigned Items.

Optical charges: Access Reports > Optical Orders > Custom Reports > Unassigned Items.
- Note: It may be necessary to select Import to add this report to your Custom Reports list.
It is recommended that these reports be reviewed periodically and resolved to ensure that all generated charges are billed, if appropriate.
Instructions
Resolve Unassigned Items for Services
- Access the Unassigned Items report for services (see above).
- Click the underlined Date in the report results. This is a hyperlink to the encounter.
- Go to Check out > Billing.
- Assign the Unassigned item(s) on the left to the appropriate payer or invoice on the right. If the invoice has already been authorized, you must open the invoice and unauthorize before you will be able to assign the item to the invoice. Note: The invoice must be active and in pending status before you can assign the item to the invoice.
Note: If the unassigned item was manually added to one of the available invoices in the Billing screen, you can still assign that item to the invoice. The system recognizes the item already exists on the invoice and will mark the item as assigned but will not duplicate it on the invoice.
Resolve Unassigned Items for Optical Charges
- Access the Unassigned Items report for optical charges (see above).
- The report accessed in step #1 is an exported or printed report and does not contain hyperlinks. The appropriate order will be accessed by searching the order number in the Orders module. The order number can be copied and pasted into the Orders module search screen.
- Open the order and click on the Billing slider.
- Assign the Unassigned item(s) on the left to the appropriate payer or invoice on the right. If the invoice has already been authorized, you must open the invoice and unauthorize before you will be able to assign the item to the invoice. Note: The invoice must be active and in pending status before you can assign the item to the invoice.
Note: If the items in the order are Non-billable items, click the assign icon of the line item. This action opens a reason modal where you can indicate why the item is non-billable. See Add Remake Reason for Optical Orders.
