The instructions below provide detailed steps for SmartFlow - Hoya - Getting Started, as an alternative, you can access Quick Guide - SmartFlow Setup. After the setup is complete, follow the instructions for Lenses and Treatments.
Instructions
- Access Admin > Vendors/Partners > Spectacle Labs > open Hoya. Note: Your practice may have multiple Hoya labs listed. Repeat the following instructions for each Hoya lab.
- Within the Basic Information tab, setup your Hoya account information.
- Account Number: Your Hoya account number is the number used to associate your account with Hoya for billing and reporting purposes and can most commonly be found on your Hoya statement. If you do not know your account number, contact Hoya and request your practice location's account number. IMPORTANT NOTE: Your Hoya account number is 6 digits long.
- To ensure orders sent to Hoya can be successfully transmitted, order validation verifies the Account # field has been populated. If this field is not populated, a warning message displays that indicates the account number is missing.
- Access the Location Information tab.
- If all locations within your practice ARE listed in the grid, verify the information in the Account # column matches the Account Number field within the Basic Information tab.
- If the account number does not match:
- Open the Location.
- In the Edit Location Configuration modal, update the Account # field.
- Click 'Save.'
- If the account number does not match:
- If all locations within your practice are NOT listed in the grid:
- Click 'Add.'
- In the New Location Configuration modal, in the Location field, select the appropriate location from the dropdown menu.
- In the Account # field, update the account number.
- Click 'Save.'
- If all locations within your practice ARE listed in the grid, verify the information in the Account # column matches the Account Number field within the Basic Information tab.
- From the Basic Information tab, click 'Save.'
After setup is complete, it is our recommendation that you submit one or two orders to verify that configuration for your practice has been setup correctly. Once you can confirm the order was successfully received and approved by Hoya, you are ready to transmit Hoya orders through SmartFlow.
