Products need to be associated to SmartFlow within the Inventory module. This can be accomplished by updating your existing products or by importing the products that are used within your practice. If you have added products manually in the past, you can import the identical product and deactivate the manually added product. If you deactivate a manually added product and import the identical product, when running reports, there will be line-items from your original product and line-items from your newly imported product listed separately within the report.
- Imported products:
- Are automatically associated to SmartFlow.
- Automatically include Model and Lens Type. These fields are based on the SmartFlow ID and are not editable.
- For practices with multiple locations, after the Setup has been completed at one location, they can be copied to other locations within your practice.
Instructions
Import
- Access Inventory > Products.
- Hover your cursor over the + icon.
- Select Import Products.
- In the Category field, select Eyeglass Lenses.
- After step 4 is completed, a field for Lens Type displays. "All Lens Types" displays as the default, select a different option from the dropdown menu, if appropriate.
- Type Hoya into the manufacturer field and complete additional search information in any of the fields.
- Click 'Search.'
- Click the checkbox beside the lenses you would like to import, or, click the checkbox at the top of the column to include all lenses in the current view of the grid.
- It might be helpful to expand the number of eyeglass lenses that display in the grid by changing the number in the Show dropdown menu.
- Click 'Import.' A banner message displays that indicates the eyeglass lenses have been successfully imported.
- Repeat steps 4-7 for all lenses used by your practice.
- Click 'Back to Products.' Note: The newly imported products are listed at the top of the Dashboard grid.
- Open each eyeglass lens product; update the pricing and any other information pertinent to your location.
- If you have imported eyeglass lenses, deactivate any matching products that have previously been added to your catalog.
Update Existing Eyeglass Lenses
- Access Inventory > Products.
- Search for and open an eyeglass lens.
- Select Hoya (SmartFlow) from the Manufacturer dropdown menu.
- Type the product description into the SmartFlow ID field. As you type, a list of options displays the products that match the product description, select the product from the list.
- If a Lens Type has been selected, the SmartFlow ID product options only displays products from the Lens Type selected.
- If a Lens Type has not been selected, the Lens Type field auto-populates after a selection has been made in the SmartFlow ID field.
- Click 'Save.'
